Position Summary:

As Operations Manager you are responsible for the success of your Center, overseeing the management of all aspects of a ClearChoice Center’s operations.  Core to your position is growing the value of the Center while maintaining the quality of the patient experience.  Responsibilities include, but are not limited to – Operational leadership,  fostering the sales environment, client/doctor satisfaction, a positive work environment, a superior patient experience, financial results, and employee development.  

 

Areas of Responsibility (Functional Competencies):

Patient Experience

  • Strive to deliver a premium patient experience consistently through all points of personal interaction and clinical results
  • Understand and anticipate patient needs, constantly striving to exceed those needs
  • Resolve patient concerns or issues successfully
  • Create and maintain an environment that encourages Center staff to be patient-focused at all times

Sales Leadership

  • Have full understanding and training in the ClearChoice sales process and posses the ability to conduct a patient consultation, if needed
  • Achieve or exceed budgeted Sales goals through motivation and support
  • Assist with Center revenue collections, as needed

Doctor Relationships

  • Establish and maintain a positive working relationship with the practicing doctors of the Center on a peer level
  • Act as the primary liaison between CCMS and the Center doctors
  • Partner with the Center doctors to address proactively any concerns or questions

Administration and Management

  • Administer HR functions at the Center-level, including, but not limited to, hiring and new hire paperwork, payroll administration, disciplinary processes, managing time and attendance, regulatory and policy enforcement; retention practices
  • Manage and oversee operations, maintenance, administration, and improvement of the Center.


Financial Accountability

  • Review available performance data, including Center financial statements, sales and activity reports, and any others to measure productivity and goal achievement and to determine areas needing cost reduction and program improvement.
  • Manage the Center’s income statement as it relates to controllable expenses; understand and fully articulate the financial performance of the Center to the doctors, explain discrepancies to targets and influence additional cost management measures
  • Complete daily and weekly accounting reconciliations and reporting
  • Monitor Center activities to ensure staff efficiently and effectively provide needed services while staying within budgetary limitations

Center Utilization

  • Monitor Center efficiencies through the use of operations and sales dashboards and a thorough understanding of all efficiencies metrics
  • Work with appropriate staff members to ensure effective Center scheduling and adherence to the schedule
  • Oversee timely delivery of all phases of treatment, from consultation to final delivery
  • Utilize center analytics to minimize re-work procedures and ensure quality control

Leadership

  • Exemplify the ClearChoice culture in the Center
  • Encourage and build mutual trust, respect, and cooperation among team members in the Center
  • Create a culture of mutual accountability within the Center among all staff
  • Remove obstacles to enable Center staff to accomplish goals
  • Influence desired outcomes from entire Center staff, including surgeons, prosthodontists, administrative (including patient intake), lab, clinical and Patient Education Consultants.

Compliance

  • Maintain highest degree of confidentiality and conformance to government regulations in regard to company operations, internal affairs, sales and financial results and patient information
  • Ensure patients complete all required paperwork associated with treatment, according to ClearChoice guidelines
  • Partner with ClearChoice Compliance department to ensure all licensing is up to date and accurate
  • Monitor all Center operations to ensure they comply with Compliance guidelines, including handling of equipment, intellectual property, state licensing requirements, and risk management.
  • Responsible for meeting all OSHA training and audit requirements for the Center

Critical Competencies:

Qualifications:

  • Over 5 years of management experience preferably in a matrix management setting
  • BA/BS in a business field or related coursework preferred
  • Experience in human resources processes, including hiring, corrective action, termination, tracking time and attendance, reviewing performance and giving feedback
  • Understanding of financial statements and budget management
  • Experience working in a medical services industry, such as med spa, weight loss, or related fields, is preferred
  • Operations, sales and/or sales management experience preferred


Physical Requirements:

  • Regularly required to work in an office environment at both his/her own and others’ desks/offices  
  • Required daily to walk the floor and be available to help wherever needed
  • Must be able to regularly lift and/or move up to 50 pounds  
  • Required to work 4/ 10 hour days Monday- Thursday
